[5.0] Setup or Edit Your Company's Opportunity Pipeline

Tracking every door you knock on and every lead you create is key to closing more deals.

In the HailTrace app, you and your team can use a sales funnel called the Opportunity Pipeline to organize, track, and prioritize your leads. In this article, we’ll walk you through how to set up your Opportunity Pipeline so your whole team can work more efficiently.


Each stage in the pipeline is set (Lead, Prospect, Open, Closed, and Lost), but you can customize the statuses inside each stage to match your workflow.

Here’s an example of what your pipeline could look like:
Lead Statuses(Example)

Newly identified properties or first-time door knocks.

  1. Door Knock- No Answer #1
  2. Door Knock- No Answer #2
  3. Follow Up
  4. Call Back
  5. Submitted Estimate Form
  6. Marketing Lead
  7. Referred By Customer
Prospect Statuses(Example)

Properties you've engaged with and started qualifying.

  1. Follow-up
  2. Inspection Scheduled
  3. No Damage-Old Roof
  4. No Damage-Discontinued Shingle
  5. Create Bid
  6. Write Letter
  7. Pending Owner Decision 
Open Statuses(Example)

Properties actively moving toward a signed deal.

  1. Contract Signed
  2. Tarped
  3. Insurance Claim Filed
  4. Adjuster Meeting Scheduled 
  5. Pending Insurance Approval
  6. Waiting Supplement Approval
  7. Claim Denied-Need Followup 
Closed Statuses(Example)
Properties where the job is done (or a deal is officially won).
  1. Work Pending
  2. Pending Payment
  3. Get Referral 
  4. Send Thank You Letter
  5. Monitor Customer for Storms
  6. Give Call
Lost Statuses(Example)

Properties that didn't move forward.

  1. Lost To Competitor 
  2. Not Interested
  3. Insurance Denial
  4. Do Not Contact 
  5. Cold Call-Wrong Number

Setup Your Opportunity Pipeline 


Mobile App

  1. Along the bottom bar, select More tab indicated by three dots
  2. Select Company Settings
  3. Tap Opportunity Settings
  4. Tap Add New Status
  5. Fill out form
    1. Label: Add a title to your Status
    2. Stage: Link the Status to a Stage
    3. Default: Select if this Status is the default 
    4. Select Icon: Pick an icon that matches the status
  6. Tap Create



Browser App

  1. Along the left-hand bar, select Company Settings, indicated by the "building" icon
  2. Click Opportunity Settings
  3. Click Add New Status
  4. Fill out form
    1. Label: Add a title to your Status
    2. Stage: Link the Status to a Stage
    3. Default: Select if this Status is the default 
    4. Select Icon: Pick an icon that matches the status
  5. Click Save

Mobile App

  1. Along the bottom bar, select More tab indicated by three dots
  2. Select Company Settings
  3. Tap Opportunity Settings
  4. Select the Stage with the corresponding Status
  5. Tap the Status
  6. Edit details and tap Save




Browser App

  1. Along the left-hand bar, select Company Settings, indicated by the "building" icon
  2. Click Opportunity Settings
  3. Click the Stage with the corresponding Status
  4. Select the Status
  5. Edit details and click Save





Delete A Status in Your Opportunity Pipeline 

*A Status can only be deleted in the Browser App

Browser App

  1. Along the left-hand bar, select Company Settings, indicated by the "building" icon
  2. Click Opportunity Settings
  3. Select the Stage with the corresponding Status
  4. Click the Delete button on the Status
  5. Click Confirm
