[5.0] Understand App Roles & Permissions

Introduction

Role is a set of permissions given a User(s) to carry out their tasks and responsibilities within their company.

When an account with HailTrace is set-up, the Primary Account Holder is given all the permissions inside the app. Each new User added to the account, must be assigned a role(s). with its corresponding permissions. There are a dozen pre-set roles to get you started. However, you can Create Custom Roles to fit your company's needs. 


Basics of roles

  1. Users can have more than one role, depending on what they need to do in your company. Be careful with high-level access, though. Only give full access to a small number of trusted users.
  2. Only users with an Admin role can delete important items, such as assets, contacts, users, opportunities, and more.
  3. Most permissions only let a user work with items they created or own. For example, a user may only be able to see their own assets, contacts, or campaigns.
  4. When a permission includes the word “any,” that means the user can see, edit, or use that item across the whole company—not just their own work. These permissions are powerful and are usually only given to Admin roles.
    1. Example:
      1. The Asset User role has the permission “view assets.” This lets the user see the assets they created.
      2. The Asset Admin role has the permission “view any asset.” This lets the user see every asset created by anyone in the company.

Limits to roles

  1. Subscription: If your current subscription with HailTrace is not all our current plans (Maps, Residential Data, Commercial Data, and Canvassing), you will not be able to utilize all the roles and features available in the app. Thus, the roles you create and assign will be limited to your subscription. 
  2. DealTrace plan: This plan has a Seat Limit (a set number of users) that can have a DealTrace user, DealTrace Manager, and DealTrace Admin role.
    1. The Primary Account Holder automatically takes up one of your seats in your plan.
    2. Custom Roles, with a DealTrace permission, will take up a seat in your plan.

Base Roles
We recommend all users have these roles activated.

Map Viewer
Gives users the ability to explore weather events.

Instant Impact PDF Creator
Allows users to generate PDF reports within their subscription.

Asset User
Lets users manage their own assets and contacts.

Advanced Location Data User
Grants access to advanced lead data, including viewing Impact History and generating Impact History PDF Reports for specific locations.

Advanced Asset Alert User
Sends users lists of their assigned assets when those assets get impacted by severe weather.

Administrative Roles

We recommend these roles be permitted with discretion.

Billing Admin
Gives users the ability to manage company billing details.

Asset Admin
Allows users to manage all assets and contacts across the company.

Advanced Asset Alert Admin
Sends users lists when any company asset is impacted—not just ones they personally manage.

Admin
Full access to manage all users, settings, and account details.

DealTrace Manager

Manage personal contacts, assets, opportunities, and canvassing campaigns.
(Tip: Use Company Hierarchysettings to control access to canvassers' assets and contacts.)

DealTrace Admin
Manage all contacts, assets, and canvassing regions across the account.

DealTrace User
Manage their own contacts, assets, opportunities, and assigned canvassing regions.

Allows users to download residential lead lists.

Commercial Leads User
Allows users to download commercial lead lists.
