Asset Filtering To Find Opportunities


Assets in HailTrace represent the properties owned, managed, or rented by your clients. They are linked to Contacts, clients associated with the property, and to Opportunities, which reflect the potential sales related to that Asset.

Within the HailTrace app, you can filter Assets to focus on opportunities or track your team's activity. Whether you're using the Asset page for a list view or the Map page for a visual overview, filters allow you to locate properties based on factors such as shingle type or their place in your opportunity pipeline.

How To Use Asset Filters 

These Asset Filters help managers, sales reps, and canvassers work faster, focus on the right leads, and keep track of follow-ups.

Below are some example asset filters you may use within your role. 





For Managers

Optimize targeting, monitor team productivity, and streamline follow-ups.

What leads has a canvasser/sales rep created?

👉 Use “Created At” + “Created By User” to track leads created within a chosen timeframe (e.g., yesterday, this week).
👉 OR Use “Updated By” + “Updated At” to assess if canvassers are reworking neighborhoods or existing leads.

You’ll get a clear view of all leads generated by that team member within a specific timeframe.


When is a neighborhood saturated?

Managers need to ensure resources are focused efficiently without redundant visits.

👉 Use “Updated At” to see all clients created or updated since the last storm.
👉 Combine with “Updated At” + “Status: Door Knock #1” to check properties ready for a revisit.


What clients are stalled or need a followup? 

Spot any “stuck” clients to determine if they need reassignment or alternative follow-up strategies.

👉 Filter by “Assigned to User” + “Updated At” to find leads with no progress in a selected timeframe (e.g. in the last 30 to 90 days).



For Sales Reps

Quickly target high-potential prospects hit by recent hail, wind, or tornado storms.

What prospects were hit by a storm?

👉 Use the “Last Impact Date” filter to find impacted assets within a date range, allowing you to focus on those with the highest chance of conversion.
👉 And if you’re subscribed to our canvassing features, use the status “Monitor for Storm” to keep track of prospects without recent damage who could need assistance in the future.


Driving for Dollars

Sales reps can increase their productivity by checking in on nearby leads after an appointment.

👉 Use map view with filters set to “Assigned to” + “Stage > Prospect” to locate local clients who didn’t commit to a sale.
👉 Combine “Assigned to” + “Stage > Closed” to revisit past clients and potentially secure referrals.


Calling for Dollars (Rainy Day Strategy)

When weather keeps you indoors, spend time nurturing connections with prospects by phone.

👉 Filter by “Stage >Lead” and “Stage > Prospect” to see open leads needing another touchpoint.
👉 Select “Status > Pending Claim” + “Updated At” to follow up on pending insurance claims within a specific timeframe.

Pro Tip: For mass emails, add your own email in the “To” field and place client emails in BCC to efficiently update them on your availability or check-in on “rainy day” strategies.



For Canvassers

Revisit properties that need a follow-up with ease.

What properties need an another door knock?

👉 Use “Created At” and
👉 “Status > DoorKnock” (available for canvassing subscribers) to find leads ready for a second knock and get back into those neighborhoods confidently.


Available Asset Filters

  • Status: Find assets in the opportunity pipeline with a custom step, such as door knock, followup, wait for storm, appointment booked, and etc
  • Stage: Find assets in the opportunity pipeline in the category of lead, prospect, open, closed, or lost
  • Assigned To: See all the assets assigned to a user
  • Created By: See all the assets created by a user
  • Last Modified By: See all the asset last updated by a user
  • Last Impact Date: Find all the assets hit by any hail, wind, or tornado storm within a selected date range
  • Roof Type: Find assets with a select shingle type
  • Last Exterior Renovation Date: Find assets with a select roof age 
  • Location Address: See assets with same house number and/or street name
  • Location City: See assets within a selected city
  • Location State: See assets within a selected state
  • Location Country: See assets with a selected country 
  • Location Address Line 2: See assets within specific info on address line 2
  • Location Street: Find assets with the same street name
  • Location Zipcode: Find assets with a selected zip code
  • Created At: Find assets created within a selected timeframe
  • Updated At: Find assets that were updated within a selected timeframe, such as adding a contact, asset details, or updating an opportunity status 

Steps To Enabling Asset Filters

Mobile App

Select Filters On Asset Page

1.  Select More tab


2.  Select the Assets tab
      

3.  Tap the Filters button


4.  Select one or more filters
For example, you may want all your "Leads" in a certain zip code or with a roof that are 10+ years. In this scenario, select "Stage", "Last Exterior Renovation Date", and "Location Zipcode".


5.  Tap Apply to see a list view of the assets that meet those filters


6. To see these filters applied to your assets on the Map Page, tap View Map



Select Filter On Map Page

1.  Select the Maps tab


2.  Tap Asset Filter button



3.  Select one or more filters
For example, you may want all your "Leads" in a certain zip code or with a roof that are 10+ years. In this scenario, select "Stage", "Last Exterior Renovation Date", and "Location Zipcode".


4.  Tap Apply to see a map view of the assets that meet those filters





Save Filters

You can only save Asset filters on the Browser app. However, you can use saved filters from the Browser app in the Mobile app under "Saved Filters."

Save Filters

Assets Page: You can save or use filters on the Asset page using the "Save Filters" button. Select "Save Filters" to either save a new filter or use an existing one.



Maps Page: You can save or use filters on the Asset page using the "Save Filters" button. Select "Save Filters" to either save a new filter or use an existing one.
