How to Automatically Forward Your Emails From One Account to Another

Some users with Microsoft-based email addresses (such as Outlook, Hotmail, or Live) are currently experiencing issues receiving emails. To ensure you continue receiving important messages, we recommend using a Gmail account as a temporary mailbox and forwarding messages to your preferred email address.

This allows emails to reliably reach Gmail first, then automatically forward to you.

Important: Email Services Affected by the Issue

To avoid continued delivery problems, do not use the following email services as your primary receiving email during this issue:

  • Outlook.com

  • Hotmail.com

  • Live.com

  • MSN.com

  • Microsoft 365 / Exchange-hosted email addresses

Gmail is not affected and is recommended as the temporary receiving email service.

Overview of the Solution

  1. Create a free Gmail account

  2. Update your email address (i.e. within HailTrace) to the new Gmail address

  3. Set Gmail to automatically forward all emails to your original email address

Step 1: Create a Gmail Account

  1. Go to https://www.gmail.com

  2. Click Create account

  3. Choose For my personal use

  4. Fill out the required information:

    • First and last name

    • Desired email address

    • Password

  5. Follow the on-screen prompts to finish setup

Once complete, you will have a new Gmail address.

Step 2: Update Your Email Address Where Needed

Log into the service you are not receiving emails from (i.e. within HailTrace).

  1. Go to Account Settings or Profile Settings

  2. Update your email address to your new Gmail address

  3. Save your changes

From this point forward, emails will be sent to Gmail instead of your Microsoft email address.

Step 3: Set Up Automatic Forwarding in Gmail

  1. Log into your Gmail account

  2. Click the gear icon (top-right corner)

  3. Select See all settings

  4. Click the Forwarding and POP/IMAP tab, then Click Add a forwarding address

  5. Enter the email address you want emails forwarded to, then click Save Changes

      • This can be your original email address

  6. Click Next, then Proceed

Gmail will send a confirmation email to that address.

Step 4: Confirm the Forwarding Address

  1. Open the confirmation email sent by Gmail

  2. Click the confirmation link inside the email

Once confirmed:

  1. Return to Gmail settings

  2. Under Forwarding, select Forward a copy of incoming mail, then choose what Gmail should do with the original email

      • Recommended: Keep Gmail’s copy in the inbox

  3. Click Save Changes

What Happens Next

  • Emails are sent to Gmail first

  • Gmail automatically forwards them to your chosen email address

  • You continue receiving emails without interruption

This setup can remain in place until Microsoft email delivery issues are resolved.
